Are you feeling overwhelmed with all the tasks for your business including content creation? Do you want to know how to prioritize and manage your time to be more productive in creating your content?  I’m sharing how to automate your business model with 3 content strategy tips that cut down the time you spend on business tasks to 4 hours a week or less. 

It’s easy to get in a cycle of wanting to create extremely valuable content that all you find yourself doing is creating and pushing out content or you’re obsessed with optimizing your content so you spend WAY too much time over-optimizing. You simply just don’t have a content strategy because you are over-obsessing and not letting your content work for you.

This kind of business model leads to burnout fast. Your business model shouldn’t be complicated and absorb every bit of time you have. It should be SIMPLE and feel manageable. There are 3 ways to simplify your content strategy and organize tasks for a smoother, less-stressful business model.

3 Content Strategy Tips to Grow and Automate Your Business Model

If you have a problem with FOMO and shiny object syndrome, then you know how easy it is to get distracted by open tabs, Google searches, and scrolling through Amazon. I love to get distracted and when I work on things, my mind starts to wander. #Guilty!! But when we are trying to grow a successful business, we need to be intentional and focused. That also means putting away anything that is distracting and trying to steal our time. It also takes disciplining yourself to stay on task, even when you don’t “feel” like it.

When you have your task list piled to the max and you feel like you can’t keep up, it’s because you have a disorganized business model. You aren’t being realistic with your productivity level, your time, and your content strategy.

You need to evaluate the time you have and what tasks to prioritize weekly so you aren’t wasting time working on one small task that isn’t going to help your business grow. There are always going to be recurring tasks that aren’t “fun”. But they shouldn’t be avoided. 

You can’t avoid tasks that take effort, and you can’t rush quality content creation. Getting good at being productive takes time, so you need to be patient and grow with your business.

There are probably two reasons you might feel overwhelmed and stressed with your business model.

Your business model is disorganized

You don’t know what to prioritize first because you have too much to do. You don’t have a system. FYI, “Winging it” is not a good way to be productive.

You’re confused 

You don’t know what tasks are the best use of your time so you pick whatever (usually something that won’t grow your business).

It is possible to have a streamlined and organized business model. A business model where it’s not stressful or overwhelming, and you know what to expect because you have set up an entire system that tells you what to do and when. Bonus points when your tasks are automatically set to pop up in your workflow the day you have to do them. 

This kind of system eliminates the stress of being in business mode when your work day is done. You can focus on being present with your family rather than worrying about what you have to do the next day. Matthew 6:31 also applies to this. Worry about today only and leave tomorrow’s stuff for tomorrow.

You have to stop letting yourself get distracted. If you have to, turn your phone off or put it in another room. Get up earlier to work if you’re finding yourself being interrupted at certain parts of the day. At least on the days when you have to put your focus into something, like creating content.

3 tips for an Organized Business Model and Content Strategy

Create and re-use graphic templates

Part of your content strategy should include having templates pre-made and ready to use. This cuts down on the time you are spending creating templates. All you have to do is swap out the titles and text and they are ready to go. Even if you’re doing presentations, you can create 2-3 branded sets.

You can use Canva to do this and create templates for whatever platform you’re using. For example, you can create templates for Pinterest, your Facebook page, your group, and your blog posts, etc.

Before you create a graphic for your content, copy the template first, then create the graphic. The templates stay the original piece. I also recommend batch-creating graphics on a certain day. This is one of those recurring tasks that go with content creation. To market your content, you need graphics. So set aside a day to create graphics and get them scheduled to post.

Repurpose your content

You do not need to recreate the wheel with every single piece of new content. We’re trying to save time, and you want your audience to go read the original piece of content. If you’re constantly creating new posts and not telling them “Hey, go read more here”, they most likely won’t.

To repurpose your content into micro teachings or micro-content, take a highlight piece and turn it into a step-by-step post or infographic (and yes, have even infographic templates ready).

Create a micro post on one of the solutions in your content that lead your audience back to the original piece of content with a CTA/link.

Summarize the content into a post. Add a trigger question to get your ideal reader’s attention, then a very brief summary of the outcome with the link to the content.

Pre-plan and schedule

When you plan and schedule posts and content ahead of time, the more automated you have your business. You won’t feel like you’re in a time crunch. Planning will allow you to know what to expect from yourself ahead of time. 

A good tip, if you need content for your FB group, and instead of coming up with extra content is to look at your content and pull out some triggering questions from it. You can use one piece of content for your FB group and stretch it out over a week. I do this and it saves SO much time. It’s like the theme of the week since it relates to your content piece. 

Reevaluate your content strategy for quality content

Don’t be afraid to get savvy at automating and saving time. That’s what your content is for. That’s what your freebies and services are for. If you feel like you have to over-deliver, you need to reevaluate your content for quality. One piece of content shouldn’t take you more than two hours to create (pending that you’re working uninterrupted).

If you have to, free up a day that is just strictly dedicated to content creation. Make that dedicated day your focused content creation time. Doing this makes the expectation a little lighter and you won’t feel so rushed to get your piece of content planned out. It will make it easier to get done and if you do have some extra time after that’s done, you can pick another task to start on.
